Outlook Add-in Setup

Deploy the WiseStamp add-in once from your Microsoft 365 admin center and signatures appear in your employees' Outlook automatically.

How to deploy the Outlook add-in

Deploying the WiseStamp Outlook add-in takes seven steps and a few minutes. You need Global Admin credentials for your Microsoft account, your employees need Exchange Online mailboxes, and your employees need to exist in your WiseStamp account so there is a signature to add to their emails.

  1. Sign in to the Global Admin account for your Microsoft 365 tenant, and sign out of any other Microsoft account in the same browser.

  2. In WiseStamp, open Integrations and click Connect in the Add-in for Outlook section.

  3. Select I'm the Global Admin and click Integrate with Add-in. If you are not the Global Admin, select Send instructions to another person and WiseStamp emails the steps to them.

  4. On the Add users page, choose Entire organization, or choose Specific users/groups to start with a smaller rollout.

  5. Click Finish deployment, then click Done.

  6. Return to the WiseStamp tab and click Connect.

  7. On the Integrations page, the Add-in for Outlook card shows ACTION REQUIRED until the add-in is used for the first time. Click Compose email and open a new email in Outlook. Your signature appears at the bottom of the message, and the card updates to show the add-in as connected.

That is the whole setup. There is nothing to install on your servers, no changes to your directory, and nothing for your employees to do.

What happens after you deploy

After you deploy the Outlook add-in, Microsoft propagates it to your mailboxes and each employee's signature is added to their emails as they are composed.

  • Composing the first email is what completes the connection. You see your own signature straight away, and your employees see theirs the next time they compose an email in Outlook.

  • Propagation can take up to 72 hours across a full organization. A Pending connection status during that window is expected and clears on its own.

  • One deployment covers Outlook on desktop, web, and mobile. There is no per-device setup and nothing for your employees to install.

  • Employees you add in WiseStamp later are covered by the same deployment.

  • On MSI versions of Outlook, the add-in appears in the Outlook ribbon rather than under My add-ins.

What your environment needs

Before you deploy the Outlook add-in, confirm your environment meets these requirements:

  • Global Admin credentials for your Microsoft 365 account.

  • Exchange Online with active mailboxes. Your subscription directory must be in Microsoft Entra ID, or federated to it.

  • Microsoft 365 Business Standard or Business Premium, Office 365 Enterprise E1, E3, E5, or F3, or Microsoft 365 Enterprise E3, E5, or F3, version 1701 or later.

  • Your employees added to your WiseStamp account, with a signature assigned to each of them.

Do you need the Microsoft Entra ID integration first?

You do not need to set up the Microsoft Entra ID integration before you deploy the Outlook add-in. The two are separate, and the add-in works with or without directory sync.

What the add-in does need is your employees in WiseStamp, because it adds each person's signature based on the details stored there. You can get your employees into WiseStamp in any of these ways:

  • Connect Microsoft Entra ID to import your employees and keep them in sync automatically. This is the least work to maintain, because new hires are added and departures are removed for you.

  • Import a CSV file of your employees from the Employees page.

  • Add employees manually on the Employees page.

Whichever method you choose, the Outlook add-in deployment itself does not change.

Outlook for Mac in Legacy mode does not support add-ins. Users on Legacy mode need to switch to the new Outlook for Mac.

What you are approving

The Microsoft consent screen shows the permission the add-in requests before anything is granted.

  • Read and write to this item (ReadWriteItem) is the permission Microsoft requires for any add-in to change a message while it is being composed. WiseStamp uses it to place the signature at the end of the email. Microsoft's definition of this permission is broader than what WiseStamp uses it for, and WiseStamp does not read or store the content of your messages.

The deployment is fully reversible. WiseStamp includes a guided Disconnect wizard that walks you through removing the app from your Microsoft 365 admin center. Full security details are on the WiseStamp Security and Compliance page.

Rolling out to part of the organization first

To roll the add-in out to part of your organization first, choose Specific users/groups in step 4 and select the users or groups you want. You can extend the deployment to everyone later from your Microsoft 365 admin center.
