Add Images to a Signature
Images not only make signatures more eye-catching and interesting but can also help boost business by allowing mail recipients to view your gallery or quickly access a webpage. This article summarizes the different options WiseStamp provides for adding images to your signature.
!tip! Although WiseStamp does not restrict the number of images in a signature, each image adds characters to the signature. Keep in mind that some mail platforms have a limit on the number of characters allowed in signatures.!/tip!
Add a Profile Picture / Company Logo
The Images tab of the Signature Editor lets you add up to two images to your signature. Usually, these images are a personal headshot and/or a company logo, but you can upload any picture. These pictures can be still images (.jpf, .png, .bmp) files, or animated GIF (.gif) files. You can also create an animation with our GIF maker, in which two selected pictures alternate.
To add images to your signature:
- Open the Images tab of the Signature Editor and click Upload Photo or Logo.
- Upload the image. You can use a local file, or upload a file from the internet, Facebook, Instagram, or your webcam. After selecting the image, a preview opens where you can adjust the image.
Using employee photos or company-level images
Teams users can select an attribute as the source of the photo, and may select one of the following options as the default:
- Company: Company logo (from a Company detail/attribute).
- Employee: The photo from the Employee fields/attributes. When you select this option, you are prompted to upload a default photo. The default image is displayed in the event that an employee has no headshot uploaded.
Add a second image
- To add a second image from the Image tab, click Add another and follow the instructions above.
- To change the order in which the images are displayed, click Swap images.
Upload Employee Headshots
Headshots can give a consistent, professional yet personal feel to your company signatures. For the headshots to appear in the signature, you need to make sure that a photo is uploaded for each employee, using any of the following methods:
Synchronize from the directory
If your domain is integrated with a corporate directory (such as Google Workspace or Azure AD), you can import employee headshots from the directory data. Click Employee fields from the navigation panel, and verify that the Photo field is synchronized with the correct field from the directory.
If you want to allow employees to upload their own photos, verify that Allow employee to edit is selected and Overwrite is not selected. (These are the default settings.) To prevent employees from uploading a personal photo, verify that Allow employee to edit is not selected.
Allow self-upload photo by employees
Follow these steps to allow employees to upload their own headshots:
- Click Employee fields from the navigation panel.
- In the Photo row, verify that the Allow employee to edit checkbox is selected.
- Open the Employees list and select the employees to whom you want to send an email inviting them to review and edit their signatures. (These employees must have an Active status.) Then, click Invite.
- Emails are sent to the selected employees allowing them to click a link in the email that opens the My signature page. On this page, the selected employees can edit the allowed details of their signatures, including adding a photo.
Perform manual photo upload
To upload an employee headshot, follow these steps:
- From the Employees list, hover over the relevant employee. At the right side of the row, click the Edit icon.
- At the top of the Edit employee dialog, click Upload photo and select the image you want to add to the signature.
- To save your changes, click Done.
Create an animated GIF image
WiseStamp's animation option lets you create a GIF image that alternates between two images. Generally, these images are a profile photo and a company logo, but you can use any two images of your choice.
To create an animated GIF:
- Upload the first image by following the procedure above.
- Immediately below the first image, click Animate. A popup opens, prompting you to select a second image.
- Click + and then click Upload Photo or Logo to select the second image. If you upload a custom image, a preview opens where you can crop and adjust the image. For the best animation results, we recommend that you NOT change the default selection (1:1).
- Once both images are selected, a preview of the animation is displayed. You can test the animation with different headshots by selecting employees from the list above the preview.
- From below the preview, select a transition type. The preview displays the GIF with the selected transition.
- To add the GIF to the signature, click Apply.
Using image apps and apps
The Apps tab of the Signature Editor offers a large variety of add-ons that you can use to customize and boost the value of your signature. Image components provided in the Apps tab include the Image Gallery, Banners, and HTML apps.
Image Gallery
This app draws instant attention to your photos, artwork, or product line by inserting a series of images into your signature. You can include a catchy title for your gallery and add links to your gallery or any other webpage(s) of your choice.
To use the Image Gallery app:
- From the Apps tab of the Signature Editor, click Image gallery to open the Image gallery settings page.
- Under Add your images, click+. A popup opens where you are prompted to select an image. You can select a local file or upload a file from the internet, Facebook, Instagram or your webcam.
- Repeat Step 2 to add more images.
- If desired, type a title for your gallery in the Gallery title field. If you have a title, it appears above the images.
- Drag the Image size and Space between sliders to adjust the size of the images and the distance between the images.
- Select the Shape for your images.
- Specify links for your images:
- When Apply link to all images is enabled (blue), the access link for your gallery is applied to each image. Enter the access link in the Link Gallery Title to URL field.
- When Apply link to all images is disabled, you can enter an individual link for each image and the gallery title.
- To save your changes and add the gallery to your signature, click Add.
Banners
This apps let you add an image to your signature that has a hyperlink option to redirect your email recipients to the landing page of your choice. You can select from WiseStamp's large collection of predesigned banners, or use Upload my banner app to use your own image.
To add a custom banner to your signature:
- From the Apps tab of the Signature Editor, click Upload my banner to open the Upload my banner settings page.
- Specify the image to upload. Pay attention to the guidelines provided at the top of the page.
- Adjust the banner size and alignment as required.
- In the Banner link to field, specify the URL of the desired landing page. You can select any field from your company or employee details, or enter any other link of your choice.
- To save your changes and add the banner to your signature, click Add.
Custom HTML app
This app lets you add any image from the web to your signature. Follow these steps to use this app:
- Locate your image on the web. Then, right-click on it and select Copy image address.
- From the Apps tab of the Signature Editor, click HTML to open the Use custom HTML page.
- In the box at the top of the page, type the location of your image using this syntax:
<img src=”paste image address here“>
For example:
<img src="http://www.wonderoftech.com/wp- content/uploads/2013/03/WiseStamp-Logo.jpg">
When the image location is complete, the image is displayed in the signature preview, on the right side of the page. - To add the image to your signature, click Add.
Troubleshooting
The following are some of the issues that may occur:

Animated GIF not displayed on emails |
Your emails may be set to Plain Text mode, which strips all images, special formatting and coloring. Verify your emails are formatted in HTML. The GIF feature can be used with most email programs that support HTML formatting of signatures. If you see other signature formatting, but not your GIF animation, contact WiseStamp support team and tell us which email platform you are using. |
No images in email replies |
Some mail programs, such as Outlook, do not automatically download images. Email recipients need to request in the email for the images to be downloaded. When recipients do not download the images, the signature in replies back to you are displayed without the images, or with outlines around where the images should be displayed. |
