Deploy Your Signature Using Copy/Paste
This article presents the steps required to successfully deploy a WiseStamp signature by adding it to the signature settings in an email client using the copy/paste method. This method can be used in multiple email platforms, including Mac Mail, iOS Mail (iPhone/iPad), Gmail, Outlook (Web and Desktop versions), and any other platform that accepts HTML signatures.
Copy/paste workflow: WiseStamp Pro
If you have an individual Pro account, you can easily add a signature to any popular email program using HTML code.
!note! WiseStamp signatures are built in the HTML language. While most email programs and CRMs accept some level of coding, not all support specific HTML signatures. !/note!
To grab the HTML code of your signature:
- On the My signatures page of your WiseStamp account, click Install for the relevant signature.
- In the pop-up, click HTML.
- Click the Copy icon to copy the signature code.
- Paste the code into the signature settings of your email program.
!important! After updating a signature, save your changes and then repeat the above procedure to ensure that the updated signature is displayed in your emails. !/important!
Copy/paste workflow: WiseStamp for Teams
To enable employees to use the copy/paste deployment method, the account administrator needs to send the employees an invitation email containing installation instructions. The employees can then export their signatures to the required email platforms.
!note! WiseStamp has implemented a Trust Policy to enhance security and control. To send invite emails you must first verify your email address from the Profile page. If you encounter any issues sending Invite emails, please contact the WiseStamp support team for assistance. !/note!
Administrator steps:
- On the main navigation panel, click Settings and then click Employee hub.
- From the Deployment instructions section, select the relevant email platforms.
- Click Save changes at the bottom of the page.
- Go back to the main navigation panel and click Employees.
- Select the employees to receive invitation emails. Then, above the table, click Invite. Emails are sent to all selected employees with access to the signature installation instructions.
Employee steps:
- On the invitation email, click the link to access your Employee hub. A page with a preview of all your signatures opens.
- Hover over the signature to be installed and click Install.
- On the left panel of the page that opens, click the relevant email platform.
- From the dropdown list in the first line of the instructions, select Copy / Paste.
- Follow the copy/paste instructions displayed.
!important!Before closing your email settings, make sure to save your changes to ensure your WiseStamp signature is displayed correctly.!/important!
Install your signature in Outlook for Windows: WiseStamp for Teams
Employees who use Outlook for Windows can install their WiseStamp signature using the copy/paste method. This is the recommended method for an individual installation with New Outlook.
!note! If you are using Classic Outlook, we recommend using the WiseStamp Desktop app. !/note!
The following steps are for employees after receiving the invite email.
!note!For administrators, go to the Employees screen, hover over the administrator entry in the table, click Employee hub, and continue with step 3 below.!/note!
- After receiving the invite email from your administrator (from: no-reply@wisestamp.com), open the email.
- Click the link to access your Employee hub. A page with a preview of all your signatures opens.
- Hover over the signature you want and click Install.
- On the left panel of the page that opens, select Outlook > For Windows.
- Above step 1, click the dropdown and select the Copy/Paste method.
- In step 1, click Copy to copy your WiseStamp signature.
- Open your Outlook Desktop and compose a new email.
- If you have New Outlook, perform the following:
- Paste your signature as a new signature
- Go to the Messages tab, click Signature, and then select Signatures.
- In the Create and edit signatures section, click New signature.
- Enter the name for your signature.
- In the Edit signature area, paste your copied signature.
- Click Save.
- Assign your signature to all relevant email types:
- Go to the Select default signatures section. From the For New Messages and For Replies/Forwards dropdown boxes, select the signature you want for each email type.
- Click Save and close the dialog box.
- Paste your signature as a new signature
- If you have Classic Outlook, perform the following:
- Paste your signature as a new signature:
- Go to the Messages tab, click Signature, and then select Signatures.
- In the Select signature to edit section, click New.
- Enter the name for your signature and click OK.
- In the Edit signature area, paste your copied signature.
- Assign your signature to all relevant email types:
- Go to the Choose default signature section. From the New messages and Replies/forwards dropdown boxes, select the signature you want for each email type.
- Click OK.
- Paste your signature as a new signature:
- Your signature will appear automatically in the appropriate emails.
!important! After updating a signature, save your changes and then repeat the above procedure to ensure that the updated signature is displayed in your emails. !/important!
