Signature Details Tab
The Signature details tab of the Signature Editor provides comprehensive tools for managing the details included in your email signatures. To access the Signature details tab, go to the Signatures page, click Edit from your signature preview, and then click Details. Here's a breakdown of its features and functionalities:
Signature fields | These are elements used to create signatures and input general information such as name, job title, company name, contact information, and other relevant data. |
Upload images | Click to open the Image tab, where you can add or manage the images displayed in your signatures. |
Add a field | Click to add a new or previously created signature field to use in your signatures. |
Remove a field | Removes a signature field from the signature. When a field is removed, it is not deleted from the global list of signature fields. |
Move a field | Enables you to rearrange signature fields by simply dragging and dropping them within the list. This rearrangement is instantly reflected in the signature preview. |
Add social profiles | Click to open the Social Profiles tab, where you can add or manage the social profiles displayed in your signatures. |
Edit company data | Click click here to open the Company Details page, where you can enter your company details, define your company social links and add new company fields. Only available with WiseStamp for Teams. |
Edit employee data | Click click here to open the Employee Fields page, where you can manage and edit the employee fields, including mapping to the company directory, set permissions to allow your employees to change what appears on their signature and adding new employee fields. Only available with WiseStamp for Teams. |
Show actual value | Toggle to change the information displayed in the signature fields. The exact value displayed is based on the type of field and the available information. Only available with WiseStamp for Teams. |
Preview with employee | Under the signature preview, you can select an employee to preview their signature. This changes the values displayed in the signature fields. It also indicates which fields have no defined values. Any field without a value, does not appear in the preview or the deployed version of the signature. Only available with WiseStamp for Teams. |
!important!When you are finished editing the signature, click Done Editing and select whether it should be saved as a draft or published.!/important!
Signature fields
In this tab, you manage the signature details using fields. However, the behavior of these fields vary based on the WiseStamp plan.
For WiseStamp Free or Pro, directly input the required text into each field.
For WiseStamp for Teams, you are designing a signature template for a group or team. This WiseStamp plan allows you to link these fields to your employee and company data through integration or other available options. Use attributes to link signature fields to your employee and company data. These signature fields can then be used with all signatures. Click on each field to set the relevant attribute.
!note!Employee attribute values automatically change per employee, while Company attribute values remain constant across all signatures.!/note!
Define a signature field with WiseStamp for Teams
- Click the signature field and a dropdown list opens allowing you to enter your attributes. For more information on attributes, see Working with attributes.
- Click the Value taken from dropdown list, and select whether the value is taken from the employee and company data, or free text.
- Click the Field value dropdown list, and select the attribute associated with the field.
- If a company attribute is not defined, another Field value box is displayed for you to enter a value. This entry is saved for future use.
!note! Company data is global. Adding a value here will be reflected on all signatures that use that attribute.!/note!
- If you wish to change the name of a signature field, change the Label value.
!note!Name, Title, Company and Pronouns signature fields cannot be moved.!/note!
- Changes are reflected on the preview signature to the right. Each field is displayed with its associated attribute or free text.
!note!Any field without a value, does not appear in the deployed version of the signature.!/note!
Change order of the fields
To reorder the fields in the signature, perform the following:
- Hover over the signature field you want to move, The Drag icon (6 dots) appears to the left of the field.
- Click the Drag icon and move the field to its new location.
Add a field to your signature
The procedure to add a field varies based on the WiseStamp plan you are using.
For WiseStamp Free and Pro:
- Click Add a field, and select an existing field or create a new custom field.
- If you select an existing field, click the new field and input the required text.
- If you select Custom, the Add a Custom Field dialog box opens and perform the following:
- Click the Type dropdown list, and select the field type.
- Enter the Label value to define the name of the signature field.
- In the Field value box enter the value for the custom field.
- Click Done and the new field is displayed in the list of the signature details.
For WiseStamp for Teams:
- Click Add a field, and select an existing field or a create new custom field.
- If you select an existing field, click the new field and define the new field as described above.
- If you select Custom, the Add a Custom Field dialog box opens and perform the following:
- Click the Type dropdown list, and select the field type.
- Enter the Label value to define the name of the signature field.
- Click the Value taken from dropdown list, and select whether the value is taken from the employee and company data, or free text.
- To the right, click the dropdown list and select the associated attribute.
- Click Done and the new field is displayed in the list of the signature details.
!note!Custom signature fields are global. Any changes to a custom field are reflected on all signatures that use this field.!/note!
Remove a field from your signature
- Hover over the signature field you want to remove,
- Click the Delete icon that appears to the right of the field.
- A message appears that the field has been removed.
