Google Workspace Email Signatures: Auto-Inject into Gmail

Auto-Inject writes WiseStamp signatures straight into employees' Gmail settings. Covers domain-wide rollout plus the Chrome Extension and Google Connect.

WiseStamp for IT › Google Workspace › Step 4 of 12 — Auto-Inject into Gmail

Plan requirement: Auto-Inject — Basic, Grow, Platform, Enterprise (and legacy Basic/Plus/Enterprise). Chrome Extension and Google Connect — all plans.

Prerequisites

  • Step 1 complete: Google Workspace directory connected (Connect Your Directory).

  • WiseStamp Owner/Admin access.

  • Employees must be Active in WiseStamp (Auto-Inject works for Active employees only; each Active employee uses one seat).

Option A — Auto-Inject (primary)

Auto-Inject writes the signature into the employee’s Gmail signature settings automatically.

Enable for existing active employees

Bulk:

  1. Click Employees.

  2. Select the relevant active employees.

  3. Click the Injection dropdown above the list and select On.

Individual:

  1. Click Employees.

  2. Hover the active employee’s row, click the More icon (3 dots).

  3. Select Injection on (or Injection off).

Auto-Inject only applies to Active employees. To inject for an inactive employee, set them to Active first.

Enable for new employees automatically

  1. Click Settings > Sync & Automations.

  2. In Automations, set New employee initial status to Active.

  3. (Optional) Set Send signature link on activation to Notify employee so they can review details.

  4. Set Inject to Gmail on activation to On.

  5. Click Save changes.

With this configured, every newly synced employee is activated and injected automatically.

Option B — Chrome Extension (alternative)

The WiseStamp Chrome Extension deploys signatures from the browser and supports multiple signatures per account (Gmail and Outlook web).

  1. In WiseStamp, click Integrations.

  2. In the Chrome Extension section, click Connect. A pop-up asks if you are the domain administrator.

  3. Each user signs in once: confirm the email address, click Sign in, enter the 4-digit OTP from the email, click Sign in.

  4. Define the default/primary signature for new emails.

  5. While composing, users can switch signatures via the Chrome Extension menu icon, or remove a signature with the Remove icon.

Use this when users need to pick between multiple signatures or you prefer a per-browser approach over writing into Gmail settings.

Option C — Google Connect (individual)

Google Connect inserts one signature into one Gmail account via OAuth. Available on all plans, including Legacy Free. For multiple signatures, use the Chrome Extension instead.

  1. In the Employee Hub, click Install for the relevant signature.

  2. On the Installation page, select Gmail.

  3. Under Install your signature with, select Google Connect.

  4. Click Sign in with Google.

  5. Choose the Google account, review permissions, click Continue.

  6. Wait for the connection, then refresh Gmail.

  7. Click Compose to confirm the signature appears.

Validation

  1. For Auto-Inject: confirm the injected signature now appears in a pilot user’s Gmail > Settings > Signature, and on a freshly composed message.

  2. Test reply and forward behavior.

  3. Confirm internal and external recipients render the signature correctly.

  4. If two signatures appear, the user likely has a manual copy/paste signature — see Troubleshooting Reference.
