Exchange Server Email Signature Rollout: Employee Handoff

Brief Outlook and Exchange users before signatures go live: what changes, what they must do per deployment method, an email template and a short FAQ.

Audience: IT, to brief employees. First section is internal reference; second is sendable copy.


What employees should understand

  • The signature is created and maintained centrally by an admin. They don’t build or install it.

  • Company updates (branding, campaigns) apply automatically.

  • Outlook Add-In: users must restart Outlook desktop and refresh Outlook web once for the signature to start appearing.

  • Server-side: nothing for employees to do; the signature is added automatically in transit on every device.

  • Signatures apply to new messages, replies, and forwards by default.

  • To change personal details (title, phone), employees contact their admin — unless self-editing is enabled (Ongoing Admin Guide).

Self-service signature link (optional)

If you allow employees to review/edit details, send their signature link: Employees > [three-dot] > Send signature link. Scope set in Settings > Employee Hub > Employee editing permissions.

Hi [team],

We’ve rolled out company-wide email signatures through WiseStamp. Your signature is set up for you automatically — you don’t need to create or install anything.

[If Add-In: One quick step: please restart Outlook on your desktop and refresh Outlook on the web once. Your signature will then appear automatically on new emails, replies, and forwards.] [If server-side only: There’s nothing you need to do — your signature is added automatically to every email you send, on any device.]

A few notes:

  • The signature is managed centrally, so company updates appear automatically.

  • Need to correct your title, phone, or other details? Contact your IT administrator.

  • Seeing two signatures, or none? Remove any signature you previously pasted into Outlook manually, restart Outlook, and contact [IT alias] if it persists.

Common employee questions (FAQ)

How do I make my signature appear? Add-In: restart Outlook desktop and refresh Outlook web. Server-side: nothing required.

How do I stop the signature on replies? Signatures deploy on new messages, replies, and forwards by default. To change when they appear, contact your admin.

I want to change my title / phone. Who do I contact? Your account administrator. If unsure who that is, contact WiseStamp support or your internal IT alias.

I see two signatures. You likely have an old manually pasted signature in Outlook. Remove it (Outlook signature settings), restart Outlook; contact IT if it persists.
