Google Workspace Email Signature Rollout: Employee Handoff

What Gmail users need to know when Google Workspace signatures go live, what action each deployment method requires, plus a copy-paste email template.

Audience: IT, to brief employees. The first section is internal reference; the second is copy you can send.


What employees should understand

  • Their signature is created and maintained centrally by an admin. They do not build or install it.

  • Company updates (branding, campaigns) appear automatically.

  • Auto-Inject: the signature is written into the user’s Gmail signature settings automatically. The user may need to refresh Gmail to see it.

  • Server-side: nothing for the employee to do; the signature is added automatically in transit on every device.

  • Chrome Extension: the user signs in once (email + OTP) and can switch between multiple signatures while composing.

  • Google Connect: the user authorizes once via Google sign-in, then refreshes Gmail.

  • To change personal details (title, phone), employees should contact their admin — unless self-editing is enabled (Ongoing Admin Guide).

Self-service signature link (optional)

If you allow employees to review/edit details, send them their signature link: Employees > [three-dot] > Send signature link. Editing scope is set in Settings > Employee Hub > Employee editing permissions.

Copy, adjust the bracketed parts, and send. Keep it short.

Subject: Your new company email signature is now active

Hi [team],

We’ve rolled out company-wide email signatures through WiseStamp. Your signature is set up for you automatically — you don’t need to create or design anything.

[If Auto-Inject: One quick step: please refresh Gmail. Your new signature is already in your Gmail settings and will appear on new emails.] [If server-side only: There’s nothing you need to do — your signature is added automatically to every email you send, on any device.] [If Chrome Extension: Please install/sign in to the WiseStamp Chrome Extension when prompted (you’ll enter a 4-digit code we email you). You can then pick the right signature while composing.]

A few notes:

  • The signature is managed centrally, so company updates appear automatically.

  • Need to correct your title, phone, or other details? Contact your IT administrator.

  • Seeing two signatures, or none? Remove any signature you previously added manually in Gmail > Settings > Signature, refresh Gmail, and contact [IT alias] if it persists.

Common employee questions (FAQ)

How do I make my signature appear? Auto-Inject: refresh Gmail. Server-side: nothing required. Chrome Extension/Google Connect: complete the one-time sign-in, then refresh Gmail.

How do I stop the signature on replies? Signatures deploy on new messages, replies, and forwards by default. To change when they appear, contact your admin.

I want to change my title / phone. Who do I contact? Your account administrator. If unsure who that is, contact WiseStamp support or your internal IT alias.

I see two signatures. You likely have an old manual signature in Gmail > Settings > Signature. Remove it, refresh Gmail; contact IT if it persists.
