Synchronizing Options and Settings

WiseStamp can synchronize employee fields from your Microsoft Entra ID/Google Workspace directory. When the Sync feature is enabled, information from the directory (such as department, title, phone number, etc.) are synchronized to the relevant fields in WiseStamp. You can choose which fields are synchronized from your directory to WiseStamp, and which fields override existing employee information.

This article is only relevant to WiseStamp for Teams accounts.


Where to find the Sync settings?

  1. On the main navigation panel, click Settings and then click Sync & Automations.

  2. Once synchronized, the Sync setting section appears at the top of the Sync & Automations tab.

The following settings options are available:

Daily sync

Sync WiseStamp daily / Don't sync daily

Synced employees

Sync entire directory
Sync specific / Manage
Sync from security group (optional, Enterprise only)

Alternate email (alias) sync

Sync with WiseStamp / Don't sync with WiseStamp

Exclude inactive directory users

Sync with WiseStamp / Don't sync with WiseStamp

If you want to sync your updated directory manually, click the three-dot icon next to Add Employees and select Sync.


Selective employee import

Employee import settings are defined immediately after integration with your corporate directory. Sometimes, it is not practical or recommended to import all employees into WiseStamp. When you set up directory integration, you can therefore choose which departments, organizational units (OUs), or cost centers are imported.

After creating the initial setup, you can update synchronizing settings (e.g., add/remove departments) at any time.

Google Workspace users can only select employees from Departments, OUs, or Cost Centers.


While Microsoft 365 users can only select employees from Departments or Security Groups. If you want to select employees from a Microsoft Security Group, contact WiseStamp support team.

However, once integrated with all employees synchronized (Sync entire directory), you can only select employees by department. If you want to use another category instead, contact WiseStamp support team.

To import only selected groups of employees:

  1. On the main navigation panel, click Settings and then click Sync & Automations.

  2. From the Sync section, click the Synced employees dropdown list and select Sync specific.

  3. Click Manage. Your list of departments is retrieved.

  4. On the list of departments, select the department of the employees you want to synchronize and click Save & Sync.

  5. If your selection excludes employees who are currently in WiseStamp, a message appears asking whether you want to remove these employees. Click Remove employees if you want these employees removed from WiseStamp.

  6. A message appears after the Employees list is synchronized and they can be viewed on the Employees page.

Employee data is now automatically synchronized with WiseStamp every 24 hours. New employees added to the selected category are automatically imported with the daily synchronization.

Discontinuing selective employee synchronization

If you no longer require selective synchronization, you can select one of the following options from the Sync & Automations tab on the Settings page:

  • Sync entire directory: When the Synced employees parameter is set to Sync entire directory, the daily synchronization includes all employees, regardless of the department/OU/cost center.

  • Don't sync: When the Daily sync parameter is set to Don't sync daily, automatic directory synchronization stops. However, manual synchronization can still be performed.

If you are currently selecting employees from a Microsoft Security Group and you want to change the sync category or Sync entire directory, contact our support team.

Keep in mind that when you discontinue synchronization, any employees that were previously imported will continue to be displayed in the Employees list, but their details will no longer be automatically updated.


Custom mapping

When you select to synchronize employee fields from your Microsoft 365 / Google Workspace directory, information from the directory (such as department, title, phone number, etc.) is automatically imported into your WiseStamp account. The synchronization process works by mapping, or matching, fields in the directory to the relevant employee variables in WiseStamp.

Sometimes, the data that you want to synchronize to WiseStamp does not match the default field mapping used by your directory. If you see any data imported from your directory that is not the data you require, you may need to use Custom Mapping. This overwrite the default mapping pattern so the information you want can be pulled from the directory according to your preferences.

To utilize the Custom Mapping feature:

  1. On the main navigation panel, click Settings and then Employee data.

  2. Click the three-dot icon next to the relevant variable and select Edit.

  3. Select the Directory as the directory source.

  4. Choose the directory field you'd like to use as the value of the variable.

  5. Verify that Sync daily is turned on. This will overwrite the default mapping pattern.

  6. Click Save.

  7. Do steps 2-5 for the rest of the variables you'd like to map.

  8. On your Employees page, click the three-dot icon and select Sync to refresh the data for the employees. During this process, a notification appears at the bottom-left of your page, indicating the progress of the process.

Default mapping patterns

Every corporate directory type has a default mapping method that it uses to pull fields from the directory into WiseStamp. Sometimes the fields in the directory and in WiseStamp have the same names (e.g., email maps to email), and sometimes the fields are not identical, but similar (e.g., photo maps to employee photo). The following tables list default mapping patterns for some popular directories.
