It does not matter what email client you are using; adding WiseStamp to your Apple Mail is easy and simple. With our easy-to-follow steps, you can enjoy customized, professional email signatures that effectively reflect your personal or business brand. This article guides you through the steps to add WiseStamp to your Mac Mail application.
Set up WiseStamp for Apple Mail (using the WiseStamp Desktop App)
Employees who use the Apple Mail application can install their WiseStamp signature by following the personalized instructions in their Employee Hub page. These instructions include a link to download the WiseStamp Desktop App.
After this is implemented, your signature is automatically fed to Apple Mail. Every change made to your signature is reflected in Apple Mail once you quit and reload the WiseStamp Desktop App.
We recommend using the Google Chrome browser for this process. Using any other browser may not format the signature correctly.
Our WiseStamp Desktop App is not available for the Legacy Outlook on Mac. To use our app, switch to the new Outlook version. Alternatively, use server-side integration or the copy/paste method to apply your signature.
1. Access and Prepare Your Signature
Go to your Employee Hub.
Locate the appropriate signature and click Install.
Select Apple Mail for Mac.
Under Install your signature with, select WiseStamp Desktop App.
2. Set Up the Signature Placeholder in Apple Mail
Open the Mail app.
Access your signature settings:
a. Go to Mail and select Settings / Preferences.
b. Go to the Signatures tab.Create the placeholder:
a. Click + to create a new signature.
b. Enter the signature name Teams Signature and press Enter.
IMPORTANT: The name is case-sensitive and must be copied exactly as written.Assign and set defaults:
a. Drag the Teams Signature name to the email account you want to use in the left panel.
b. Set Teams Signature as the default signature for New Messages and Replies/Forwards.Close the Mail app:
a. Go to Mail and select Quit Mail.
2. Disable iCloud Syncing for Mail
Open System Settings.
Navigate to iCloud Drive settings:
a. Click your name (Apple ID) in the sidebar.
b. Click iCloud in the sidebar.
c. Select See All under iCloud Drive.Toggle off Mail syncing:
a. Go to Apps Syncing to iCloud Drive.
b. Locate Mail in the list and toggle it off.
c. Click Done to save your changes.
3. Install and Log In to WiseStamp App
Install the WiseStamp Desktop App from the App Store.
Log in with your credentials:
a. Open the app and enter your email address.
b. Check your email for a 4-digit OTP code.
c. Copy the code and paste it into the WiseStamp app.Connect to Mac Mail:
a. Click Use in Mac Mail (a signature preview should appear).
b. When the Signatures folder opens, click Open.
c. Click the green Refresh icon to save your settings.
d. Click Done.
4. Future Updates
Update your signature when changes are made:
a. If you make changes to your WiseStamp signature in the future, repeat the Quit Mail and Refresh steps.
Find the Signatures folder on your Mac
If the Signatures folder does not open automatically during the WiseStamp Desktop App installation, perform the following steps to find the folder’s location
If your Signatures folder does not appear after selecting Use in Mac Mail from the WiseStamp Desktop App, click Cancel on the screen that opens.
Open the Finder folder.
On the left sidebar, go to the Locations section and click Macintosh HD, if displayed.
If Macintosh HD is not displayed, perform the following:
On the menu bar at the top of the screen, go to Finder and select Settings.
In the Settings window, click the Sidebar tab.
In the Locations section, select Hard disks.
Return to the Finder window and click Macintosh HD on the left sidebar.
On the right panel, double-click Users and then double-click your username.
Verify that the Library folder is displayed in the folder of your username.
If Library is not displayed, perform the following:
On the menu bar at the top of the screen, go to View and select Show View Options.
In the window that opens, go to the bottom and select Show Library Folder.
Close the window, and return to the Finder window.
Verify that the Library folder is now displayed.
Close the Finder window and return to the WiseStamp Desktop App.
Select Use in Mac Mail. If it is already selected, clear it and then select it again.
In the pop-up, open the Signatures folder as follows:
Click Macintosh HD in the navigation panel.
Click Users in the right panel and then click your username.
Click the folder that starts with the letter V followed by a number, like V8 or V10.
Click MailData and then click Signatures.
Click Open. The WiseStamp Desktop App should indicate that you are now connected to Mac Mail.
Click the green refresh button in the WiseStamp Desktop App on the right side of the window.
Click Done, and your signature is now installed.
Open your email and compose a new message. Your signature is displayed at the bottom!
Set up WiseStamp for Apple Mail (Copy/Paste Solution)
If you do not want to use the WiseStamp Desktop App or are unable to install it, you can deploy your email signature using the copy/paste option.
Access your Employee Hub. A page with a preview of all your signatures opens.
Click Install for the relevant signature.
On the left panel of the page that opens, click Apple Mail for Mac.
Above step 1, click the dropdown and select the Copy/Paste method.
In step 1, click Copy to copy your WiseStamp signature.
Open your Mail app.
Click Mail in the menu, and select Settings or Preferences (version dependent).
Click the Signatures tab in the Signatures window.
Click + near the bottom of the window to create a new signature and then enter a name for the signature.
Clear Always match my default message font.
Paste your email signature (cmd⌘ + v) into the right panel.
Drag the name of the new signature to the email account you want to use, located on the left panel.
Compose a new email, and your signature is displayed at the bottom.
Notice that the logo image is not actually displayed and is just a square with "photo" written inside. This is normal! The logo will be displayed in your emails.
After updating a signature, save your changes and then repeat the above procedure to ensure that the updated signature is displayed in your emails.
Update your signature in Apple Mail
If you or your WiseStamp account administrator made changes to your email signature, follow these steps to push the changes to Apple Mail:
When using the Apple Mail app:
In the WiseStamp App for Desktop, click the Refresh icon.
Close Apple Mail completely by navigating to Mail > Quit Mail.
Re-open Apple Mail and compose a test email.
The updated signature appears at the bottom of the draft.
When using the copy/paste method:
Repeat the email signature copy/paste process, as described in the steps above.
Disable/enable the signature
WiseStamp allows you to set a default signature to be deployed with every email that you send. But we understand that sometimes you just want to send a short email without the WiseStamp signature enabled.
To quickly remove the email signature from an email, just compose a new email and select None from the dropdown list on the top right of the email.
Troubleshooting
The following are some of the issues that may occur:

Images are not displayed in any emails. | If your logo or image in your email signature looks blank or shows a square with the word “photo” inside, this is expected behavior in Apple Mail. Apple Mail sometimes doesn’t display embedded images in the signature preview for the sender, but the logo will appear correctly for your email recipients. However, if you want to ensure Apple Mail can load and display the image locally, check your network privacy settings. A setting called Limit IP Address Tracking may prevent Mail from downloading external images, including your own signature image. |
