How to Add Company Logos and Profile Photos in the Studio

Visual elements are key to a professional email signature. Use the Images tab in the Studio to upload your company logo and employee profile photos, ensuring strong brand recognition.

Adding Your Company Logo

The Company Logo section is designed for your primary brand image. This image will populate across all employee signatures assigned to this design.

How do I upload a new company logo?

In the Images tab, locate the dashed box under Company Logo.

  1. Click (+) Upload photo or logo.

  2. Choose an image file from your device, a link, Dropbox or Google Drive.

How do I link the logo to my Company Data (Variable Logo)?

This is the recommended approach for brand consistency. If you have already uploaded a logo in the Company Data section of WiseStamp, the studio can automatically use that variable.

  1. Above (+) Upload photo or logo box, locate Value taken from.

  2. Click the dropdown and select Company.

  3. Then, next to Field value, select the relevant variable in the dropdown.

Tip: Linking to the data variable ensures that if you update your logo in your main settings, this signature design (and all employees using it) will update automatically.

What are the image requirements?

For best results, your logo should be a high-quality file and at least 100x100px. Smaller images may appear pixelated in email clients.

How do I replace an existing logo?

If a logo is already uploaded, three action icons appear on the right. To replace the image with a new file, click the Swap icon (circular arrows).

How do I delete the company logo?

To remove the logo from your signature design entirely, click the Delete icon (trash can) on the right side of the uploaded image preview.


Employee Profile Photos

While the company logo is standardized across everyone, profile photos are specific to each sender.

How do I add a profile photo section?

  1. Click (+) Add profile photo at the bottom of the tab.

  2. Above (+) Upload photo or logo box, locate Value taken from.

  3. Click the dropdown and select Employee.

  4. Then, next to Field value, select the relevant variable in the dropdown. This adds a dedicated spot in your signature design that will display a different photo depending on which employee is sending the email.

Note: This action inserts the container for the photo. The actual unique employee photos are managed in your employee data, not directly in this specific signature design tab.


Animating Your Images

You can add dynamic motion to your signature by enabling logo or profile animations.

How do I make my logo or profile photo animate?

Toggle the Animate switch in the top right of the Company Logo section to the On position (it will turn blue).

What animation styles can I choose from?

Once animation is enabled, an Animation Effect menu will appear. Choose one of the four effect icons to change the dynamic behavior:

  1. Zoom Effect: (Default, often a pulse) Subtle scaling.

  2. Spin Effect: Rotates the image.

  3. Slide Effect: Entrance from the side.

  4. Special FX: Other dynamic motions (e.g., glitch/dissolve).

Creating a moving animation loop with your photos or logos is a fantastic way to make your email signature stand out. If the images in your animation look squished, distorted, or blurry—or turn from a circle into an oval—here is how to fix it.

Why is this happening?

To make sure your animation plays smoothly, our system has to follow a couple of strict rules:

  • The first photo sets the shape: The very first photo you upload decides the exact shape, size, and aspect ratio for the whole animation loop.

  • The second photo gets forced to fit: If your photos are different shapes (for example, one is a wide rectangle and the other is a tall portrait), the system will force the second photo to stretch or squish to match the first one.

  • Choosing shapes cuts off your edges: If you select Circle or Rounded Corners in the Design tab, our system has to fit your photos into a perfectly even frame to make that shape. If you upload a rectangle, the system will squish it to try and make it fit, which makes your image look warped or turn into an oval.

How to Fix the Distortion

Depending on how your photo was added to WiseStamp, choose the correct method below to match your image shapes:

Method 1: Custom images uploaded directly in the Studio

If you uploaded your images directly from your computer during your design session:

  1. Click on your image or animation block on the Studio Canvas.

  2. In the left panel, click the Edit icon on each photo.

  3. Make sure you're on the crop tool. Crop both images to identical dimensions so they match perfectly.

  4. Important: If you plan on using Circle or Rounded Corners shapes, make sure to crop both images into a perfect square shape (1:1 ratio) first. This ensures your animation looks smooth and distortion-free inside the shape!

Method 2: Images pulled from a Employee or Company Variable

If your template uses a variable placeholder shortcut, the edit icon in the Studio will not appear. You must edit the photo at its original source:

  1. Save your progress and exit the Studio to go back to your main WiseStamp dashboard.

  2. Open the Employees page and edit the employee details (for employee headshots) or the Company Profile page (for company logos).

    1. From the Employees page, click the three-dot icon for a specific employee and then select Edit details. Click on the image itself.

    2. For company logos, go to Settings > Organization > Company profile > Brand kit.

    3. In the Logo section, click on the image itself.

  3. Re-upload the image.

  4. Before clicking Done, click the Edit icon.

  5. Crop both animation images to the exact same dimensions (use a square crop if your template uses a Circle or Rounded layout).

  6. Click Done and then Save. The Studio will automatically fetch the freshly cropped, undistorted files.

Method 3: Employee and company photos synced from a directory

If your company automatically syncs employee photos and company logos through a directory, the image files are securely locked and cannot be cropped or edited in WiseStamp.

  • The Fix: You can open your source directory (like Google Workspace or Microsoft Azure) and edit/crop the employee's original profile photo or company logo before uploading it there. Once updated in your company's master directory, the corrected version will automatically sync over to WiseStamp and resolve the animation distortion.
