Exchange Server Email Signature Deployment: IT Admin Guide

Deploy WiseStamp email signatures on Microsoft Exchange. The IT admin path for Exchange Online and hybrid: identity, Add-In, transport rules, go-live and support.


Audience: IT managers and system administrators deploying WiseStamp email signature management on Microsoft Exchange — on-premises, hybrid, and off-premises (Exchange Online / hosted).

Scope: Everything IT needs to plan, deploy, validate, and operate WiseStamp on Exchange. Not a marketing resource. No end-user signature design guidance except where it affects rollout.


⚠️ Read first — pure on-prem is not supported

The WiseStamp knowledge base documents Microsoft deployment against Exchange Online / Microsoft 365 and hybrid topologies. Pure on-premises Exchange Server with no Microsoft 365 (e.g., Exchange 2016/2019/Subscription Edition in a customer datacenter, mailboxes hosted on-prem, identity from on-prem Active Directory only) is not supported.

This documentation is therefore written as follows:

  • Documented and actionable: server-side routing via the Exchange admin center (connectors + transport rules), the Outlook Add-In (for Exchange Online mailboxes), Entra ID directory sync, SSO, signature rules. These apply to off-prem (Exchange Online), hybrid, and the cloud-egress portion of most modern Exchange estates.

  • Not supported for pure on-prem: on-prem Active Directory employee sync, an on-prem Send Connector / smart host / transport agent equivalent of the cloud connector method, and the Outlook Add-In for on-prem (non-Exchange-Online) mailboxes.

Resolved: Employee sync is not supported for on-prem. No WiseStamp plan supports it. Since employee sync is a prerequisite for every deployment method, WiseStamp does not support a pure on-premises Exchange Server deployment with no Microsoft 365 / Exchange Online in the path. On-prem-only prospects must migrate identity to Entra ID (hybrid, at minimum) before WiseStamp can be deployed.

Off-prem (Exchange Online): 1 → 2 → 3 → (4 and/or 5) → 6 → 7 → 8 → 9 → 10 → 11 → 12

Hybrid: 1 → 2 → 3 → 5 (route via EXO) → 7 → 8 → 9 → 10 → 11 → 12

Pure on-prem (no M365): Not supported. Employee sync is not supported for on-prem and no plan supports it — migrate identity to Entra ID (hybrid, at minimum) before planning a WiseStamp rollout.

The Outlook Add-In requires Exchange Online mailboxes. It is not supported for mailboxes that live only on an on-prem Exchange Server — employee sync is not supported for on-prem, and no plan supports it.
