Exchange Server Email Signatures: Outlook Add-In Setup

Deploy the WiseStamp Outlook Add-In centrally for Exchange Online mailboxes. Covers topology fit, activation, validation and centralized uninstall.

The Add-In requires Exchange Online mailboxes. For mailboxes that live only on an on-prem Exchange Server, the Add-In is not supported.

Resolved: Employee sync is not supported for on-prem, and no WiseStamp plan supports it — since employee sync is a prerequisite for the Add-In, pure on-prem mailboxes cannot use it. Hybrid/Exchange Online is the minimum requirement (see Server-Side Routing).


Prerequisites

  • Step 1 complete: Entra ID directory connected (Identity & Employee Sync).

  • Microsoft 365 Global Administrator rights.

  • Users have Exchange Online active mailboxes.

  • Directory in or federated to Entra ID.

  • Outlook client builds meet the minimums in Prerequisites Checklist.


Procedure — centralized deployment

  1. Sign in to your Microsoft 365 account.

  2. Sign in to your WiseStamp account.

  3. In WiseStamp, click Integrations.

  4. In the Outlook Add-In section, click Connect.

  5. If prompted whether you are the Global Admin, select Yes, I am and click Integrate with Add-in.

  6. On Add users, select Entire organization or Specific users/groups.

  7. Click Next twice.

  8. Click Finish deployment, then Done.

  9. Return to WiseStamp and click Connect.

The Add-In uses the Outlook ReadWriteItem permission to insert the signature; WiseStamp states it does not read or store email content (Permissions Reference).


Activate employees

The Add-In signs only Active employees (each consumes a seat).

  1. In WiseStamp, click Employees.

  2. Assign a Primary Signature per employee.

  3. Toggle Active (or select multiple > Set status > Active).

Auto-activate new employees: Settings > Sync & Automations > New employee default status > Active (Ongoing Admin Guide).


Validation

  1. Confirm the Add-In shows as deployed in the Microsoft 365 admin center (Integrated apps).

  2. A pilot user restarts Outlook desktop and refreshes Outlook web so the Add-In loads.

  3. Compose a new email; confirm the signature inserts. Test reply and forward.

  4. If two signatures appear, remove any manual copy/paste signature (Troubleshooting Reference).

Uninstall (centralized)

  1. Sign in to Microsoft 365 and WiseStamp.

  2. WiseStamp Integrations > Manage (Outlook Add-In) > Disconnect.

  3. In the pop-up, click 365 admin center.

  4. Actions > Remove app, confirm, Remove.

  5. Return to WiseStamp and click Disconnect.
