Office 365 Email Signatures: Deploy the Outlook Add-In

Push the WiseStamp Outlook Add-In to your whole tenant from the Microsoft 365 admin center, then activate employees so signatures appear as they compose.

Plan requirement: Basic, Grow, Platform, Enterprise (and legacy Basic/Plus/Enterprise).


Prerequisites

  • Step 1 complete: Microsoft Entra ID directory connected (Connect Microsoft Entra ID).

  • Microsoft 365 Global Administrator rights.

  • Users have Exchange Online with active mailboxes.

  • Subscription directory is in or federated to Microsoft Entra ID.

  • Outlook clients meet the minimum builds in Prerequisites Checklist.


Procedure — centralized deployment

  1. Sign in to your Microsoft 365 account.

  2. Sign in to your WiseStamp account.

  3. In WiseStamp, on the main navigation panel, click Integrations.

  4. In the Outlook Add-In section, click Connect.

  5. If prompted whether you are the domain’s Global Admin, select Yes, I am and click Integrate with Add-in.

  6. On the Add users page, select Entire organization or Specific users/groups.

  7. Click Next twice.

  8. Click Finish deployment.

  9. When deployment completes, click Done.

  10. Return to WiseStamp and click Connect.

Centralized (admin-managed) deployment is the supported method for organizations. Microsoft may take time to propagate the Add-In to all mailboxes after deployment.

Permission granted

The Add-In uses the Outlook ReadWriteItem permission to insert the signature into the message being composed. WiseStamp states it does not read or store email content. See Permissions Reference.


Activate employees

The Add-In only adds a signature for employees set to Active in WiseStamp (each Active employee consumes one seat).

  1. In WiseStamp, click Employees.

  2. Assign each employee a Primary Signature (via the dropdown in the Primary Signature column).

  3. Toggle Active on for each employee, or select multiple and use Set status > Active.

To make new employees Active automatically: Settings > Sync & Automations > New employee default status > Active. See Ongoing Admin Guide.


Validation

  1. Confirm the Add-In shows as deployed in the Microsoft 365 admin center (Integrated apps).

  2. Ask a pilot user to restart Outlook desktop and refresh Outlook web so the Add-In loads.

  3. Have the pilot user compose a new email and confirm the WiseStamp signature is inserted.

  4. Test a reply and a forward.

  5. If two signatures appear, the user likely has a manual copy/paste signature — see Troubleshooting Reference.

Uninstall (centralized deployment)

  1. Sign in to your Microsoft 365 and WiseStamp accounts.

  2. In WiseStamp, click Integrations, then Manage for the Outlook Add-In.

  3. Click Disconnect.

  4. In the pop-up, click 365 admin center.

  5. In the Actions section, click Remove app.

  6. Select Yes, I’m sure I want to remove the app and click Remove.

  7. Return to WiseStamp and click Disconnect.
