Office 365 Email Signatures: Connect Microsoft Entra ID

Connect Microsoft Entra ID so WiseStamp can import and sync employees. Required for both Outlook Add-In and server-side Office 365 signature deployments.

Why this is required

Integrating the directory establishes who your employees are and keeps WiseStamp aligned with your tenant. Once connected, WiseStamp can:

  • Import employees into WiseStamp.

  • Sync employee fields (name, title, department, phone, etc.) from Entra ID.

  • Automatically add new employees and remove those no longer in your directory.

This step alone does not put signatures on email. It handles identity and employee sync only. You must still deploy via the Outlook Add-In (Deploy the Outlook Add-In) and/or server-side (Server-Side Deployment).


Prerequisites

  • Microsoft 365 Global Administrator rights. Only the domain’s Global Admin can complete the integration.

  • The Global Admin must be signed into their Microsoft account in a separate browser tab before starting.

  • WiseStamp Owner or Admin access.

  • Prerequisites in Prerequisites Checklist completed.


Procedure — connect the directory

  1. In WiseStamp, on the main navigation panel, click Integrations.

  2. Select Microsoft Entra ID and click Connect in the upper-right corner.

  3. Select I’m the Global Admin, then click Connect.

  4. Log into your Microsoft account, review the requested permissions, and click Accept.

  5. Choose your sync scope:

    • Sync all employees — imports the entire directory.

    • Sync specific — imports only selected departments / organizational units (OUs) / cost centers.

  6. The import begins. Employees appear in the WiseStamp Employees page.

You can also start this from Settings > Organization > Email service > Connect to Microsoft Entra.

Permission granted

This integration grants WiseStamp the User.Read.All permission, used to import employees, synchronize their details, automate add/remove based on directory status, and support signature deployment. Full rationale: Permissions Reference.


Configure sync behavior

After connecting, manage sync from Settings > Sync & Automations (not available on Pro+ and Basic). Options include:

Selective import (specific departments / OUs)

  1. Click Settings > Sync & Automations.

  2. In the Sync section, open the Synced employees dropdown and select Sync specific.

  3. Click Manage. Your department/OU list is retrieved.

  4. Select the groups to import and click Save & Sync.

  5. If your selection excludes employees already in WiseStamp, you’ll be asked whether to remove them.


Validation

  • Open the Employees page and confirm expected users were imported.

  • Spot-check that synced fields (title, department, phone) match Entra ID.

  • If you used selective sync, confirm only the intended departments/OUs are present.

Common gotcha: After integrating the directory, signatures will not appear in Outlook until you also connect the Outlook Add-In or configure server-side. If users report "no signature," that is expected at this stage — proceed to Step 2.
