Remove or Disable WiseStamp Email Signatures in Outlook

Remove or disable email signatures in Outlook on Windows, Mac, the web, and Android. Turn off your own signature, or disable signatures across your team with Group Policy or Intune so WiseStamp company signatures apply.

This article explains how to remove or disable email signatures in Microsoft Outlook. There are two common reasons to do this. Admins disable the built-in Outlook signatures across a team so that company standard signatures by WiseStamp apply consistently to every employee. Individual users remove their own signature when they no longer want it to appear on their emails, for any reason.

What removing your signature does

Removing your signature in Outlook on Windows, Mac, or the web means setting your default signature to None. Outlook then stops adding the signature to your emails automatically.

The signature stays saved in your signature list, so you can still select it manually if you want it back later. If you want to stop the signature from being fed to Outlook entirely, see If your signature comes back below.

Removing your signature in the Outlook app on Android works differently. On Android you delete the signature text itself, so it is not saved for later. See Remove your signature in the Outlook app on Android below.


Remove your own signature from Outlook

To remove your own signature from Outlook, set the default signature to None for both new messages and replies or forwards. The steps are different depending on whether you use Outlook on Windows, Outlook on Mac, Outlook on the web, or the Outlook app on Android. This applies no matter how the signature was installed, whether by copy and paste, the WiseStamp Desktop App, or the WiseStamp Outlook add-in.

All users can remove their own signature unless an administrator has restricted it.

Signatures do not sync across devices. If you use Outlook on more than one device, for example on your computer and on your phone, you need to remove the signature separately on each device.

Remove your signature in Outlook on Windows

To remove your signature in Outlook on Windows:

  1. Open the Microsoft Outlook application on your Windows device.

  2. Go to File, and then select Options. This opens the Outlook Options dialog.

  3. Click Mail from the left pane.

  4. In the Compose messages section, click Signatures... .

  5. In the Signatures and Stationery dialog, disable the signatures for new, reply, and forward messages as follows:

    1. From the E-mail Signature tab, go to the Choose default signature section.

    2. Click the New messages dropdown list and select (none).

    3. Click the Replies/forwards dropdown list and select (none).

    4. Click OK to save your changes and close the Signatures and Stationery dialog.

  6. Click OK again in the Outlook Options dialog.

Your Outlook email signature is now disabled for new, reply, and forward messages.

Remove your signature in Outlook on Mac

To remove your signature in Outlook on Mac, use the Manage Signatures option in the compose window.

Note: The steps in this section are for New Outlook on Mac. If you are using Legacy Outlook, go to Outlook > Settings > Signatures instead. To check which version you have, see WiseStamp Desktop App.

To remove your signature in Outlook on Mac:

  1. Open Outlook on your desktop.

  2. Click New Mail to open a compose window.

  3. In the top bar, click Signature, then click Manage Signatures.

  4. Scroll to the bottom of the signature settings to the Set default signatures section.

  5. Select None for New messages.

  6. Select None for Replies/forwards.

  7. Close the signature settings window.

  8. Discard the compose window you opened in step 2.

Your signature no longer appears on new emails, replies, or forwards.

Remove your signature in Outlook on the web

To remove your signature in Outlook on the web, clear the two signature checkboxes in your mail settings:

  1. Click the gear icon (Settings) in the top-right corner of Outlook on the web.

  2. Select View all Outlook settings at the bottom of the pane.

  3. Go to Mail > Compose and reply.

  4. Scroll down to the Email signature section.

  5. Clear the checkbox for "Include my signature on new messages I compose".

  6. Clear the checkbox for "Include my signature on messages I forward or reply to".

  7. Click Save.

Your signature no longer appears on new emails, replies, or forwards in Outlook on the web.

Remove your signature in the Outlook app on Android

To remove your signature in the Outlook app on Android, delete the signature text from your signature settings. The Outlook app on Android does not have a None default option like Outlook on the desktop, so you clear the signature box instead.

  1. Open the Outlook app on your Android phone.

  2. Tap the Outlook icon in the top-left corner.

  3. Tap Settings in the bottom-left corner.

  4. In Settings, tap Signature.

  5. In the Signature box, select your email signature text and delete it.

  6. Tap the check icon in the top-right corner to save your change.

  7. Exit your settings.

To confirm the signature is removed, create a new email in the Outlook app. Your signature no longer appears at the bottom of the message.

Note: Deleting the signature text on Android removes it completely, so it is not saved for later. To add a signature back on Android, copy your signature from your Employee Hub and paste it into the Signature box again.

Verify the signature is removed

To confirm the signature is removed, compose a new email. In Outlook on Windows, Mac, or the web, click New Mail. In the Outlook app on Android, tap the new message icon. The signature should no longer appear at the bottom of the message.


If your signature comes back

If your signature comes back after you set the default to None, it is being fed to Outlook by an active WiseStamp integration. Setting the default to None only controls what Outlook inserts, so the integration needs to be removed as well.

  • WiseStamp Desktop App: the app syncs your signature to Outlook and keeps it updated. To stop this, uninstall the app. See WiseStamp Desktop App.

  • Outlook add-in: the add-in adds signatures automatically on new, reply, and forward emails. To stop this, uninstall the add-in. See WiseStamp Outlook Add-In Installation.

  • Server-side signature rules: signatures are applied after the message is sent, so they do not appear while you compose, but recipients still see them. Your WiseStamp admin needs to remove the rule. See Server Side Signature Rules for Email Management.


Disable email signatures for multiple users (admins)

Admins can disable email signatures for multiple users in Outlook on Windows, so that company standard signatures by WiseStamp apply consistently across the team. Disabling the built-in Outlook signatures also stops employees from adding their own signature alongside the company signature. You can disable signatures for multiple users using Group Policy or Intune.

These procedures require administrator permissions to manage Group Policy or Intune settings.

To disable email signatures using Group Policy:

The following steps disable email signatures for multiple Outlook users using Group Policy.

  1. Open the Group Policy Management Console (GPMC) on your server.

  2. Right-click on the Organizational Unit (OU) where you want to apply the policy, and select Create a GPO in this domain, and Link it here... .

  3. In the New GPO dialog, enter the name of the GPO (Group Policy Object) and click OK.

  4. Right-click the new GPO and select Edit. This opens the Group Policy Management Editor.

  5. Go to User Configuration > Policies > Administrative Templates > Microsoft Outlook XXXX > Outlook Options > Mail Format.

  6. On the right pane, enable Do not allow signature for e-mail messages.

  7. Close the editor and ensure the policy is applied to the users.

To disable email signatures using Intune:

The following steps disable email signatures for multiple Outlook users using Intune.

  1. Sign in to Microsoft Intune and go to the Microsoft Endpoint Manager admin center.

  2. Click Devices and then click Configuration profiles.

  3. Click Create profile from the right pane.

  4. In the Create a profile dialog, perform the following:

    1. Click the Platform dropdown list and select Windows 10 and later.

    2. Click the Profile type dropdown list and select Templates.

    3. Under Template name, select Administrative Templates.

    4. Click Create.

  5. In the Create profile dialog, perform the following:

    1. Enter the name of the profile, and as an option enter a description.

    2. Click Next to proceed to the next stage.

    3. On the left menu, click User Configuration.

    4. Find and click setting Do not allow signatures for e-mail messages. You may use the search option to help you find the setting.

    5. Select Enabled and click OK.

    6. Click Next to proceed to the next stage.

    7. If you wish to use Scope tags, configure Scope tags accordingly.

    8. Click Next to proceed to the next stage.

    9. Assign the profile to the users who will have their Outlook signatures disabled. From the Included groups section, click Add all users to disable the signatures for all users, or click Add groups and select groups to disable the signatures for selected users. Optionally, you can also exclude users by adding groups from the Excluded groups section.

    10. Click Next to proceed to the next stage.

    11. Review the settings and click Create.

Note: The Group Policy and Intune procedures above apply to Outlook on Windows. They do not disable signatures in the Outlook mobile app, so users need to remove their signature on their phone themselves. See Remove your signature in the Outlook app on Android.


Troubleshooting

The following are common questions about removing or disabling signatures in Outlook.

Why do I still see two signatures in my email?

If you see two signatures at the bottom of your email, you likely have both a manually installed copy/paste signature and an automatic integration such as the Desktop App or the Outlook add-in. Removing one of them resolves the issue. See Double WiseStamp Signatures Displayed.

I do not see Manage Signatures in the top bar on Mac

If you do not see Signature in the top bar of the compose window in Outlook on Mac, you may be using Legacy Outlook for Mac. In Legacy Outlook, go to Outlook > Settings > Signatures instead. To check which version of Outlook you have, see WiseStamp Desktop App.

I removed my signature on my computer, but it still shows on my phone

If you removed your signature on your computer but it still shows on your phone, this is expected behavior. Signatures do not sync across devices, so removing the signature in Outlook on your computer does not remove it in the Outlook mobile app. You need to remove the signature on your phone separately. I want to delete the signature completely, not just stop it from appearing

Setting the default to None keeps the signature saved in your signature list. To delete the signature completely, open your Outlook signature settings, select the signature you want to delete, and remove it from the list. In Outlook on Windows, go to File > Options > Mail > Signatures... . In Outlook on Mac, open Manage Signatures from the compose window. In the Outlook app on Android, deleting the signature text already removes it completely.

How do I add my signature back later?

To add your signature back later in Outlook on Windows, Mac, or the web, open your Outlook signature settings again and select your signature as the default for New messages and Replies/forwards. In the Outlook app on Android, copy your signature and paste it back into the Signature box. If you deleted the signature from your signature list, reinstall it from your Employee Hub.

Can employees turn their signature back on after an admin disables it?

Employees cannot turn their signature back on when an admin disables signatures using Group Policy or Intune, because the signature option is turned off for all assigned users. When a user sets their own default signature to None, they can turn it back on themselves at any time.
