Deploy Your Signature using Copy/Paste (Legacy Free/Legacy Pro/Pro+)

Add your WiseStamp signature by copy and paste in Gmail, Outlook, and Apple Mail. Follow client-by-client steps and fix common formatting issues.

This article provides the comprehensive steps required to successfully deploy a WiseStamp signature using the copy/paste method. This approach is compatible with all versions of Outlook, Gmail, and Mac Mail.

Copy your own signature from WiseStamp

  1. On the Signatures page of your WiseStamp account, click Install for me for the relevant signature.

  2. Click Other.

  3. Where you see Install your signature with, select Copy/Paste.

  4. Click Install: Select the relevant signature.

  5. Select "Other": Under the installation options, select Copy/Paste.

  6. Copy to Clipboard: Click the Copy icon to copy the rendered signature.

  7. Follow the insertion steps below for your specific email client.

You can also copy the signature HTML by clicking the dropdown in Copy/Paste and selecting HTML Code. Then, follow the same instructions below.

Install your signature from the Employees page

On some accounts, when you click Install, you may be taken to the Employees page instead of the Installation page. This happens when the employee email address does not match the email address you use to sign in to WiseStamp. To resolve this, match the email address you used for your WiseStamp account with the email address you assigned the signatures to.

This limitation does not apply to Pro+ accounts, which always have the client-specific install options.

If you would not like to match email addresses, use the steps below.

Use Google Chrome to copy your signature. Copying from Safari or another browser may not preserve the formatting, and elements such as social icons may not appear correctly after you paste.

Copy your signature from the Employees page

  1. Go to the Signatures page and click Install for me on the signature you want to use.

  2. You are taken to the Employees page. Confirm that the signature you want is assigned as the Primary signature.

  3. Click the 3-dot icon beside your name.

  4. Select Copy signature.


Copy from the Employee Hub (For Employees)

Use this method if you are an employee and not a WiseStamp admin. Or if you are an admin would like one of your employees to copy and paste their signature.

Your Employee Hub is where you view the signatures assigned to you and open installation instructions. You can open it yourself at any time — you do not need to wait for an email from your admin.

To open your Employee Hub:

  1. Enter your work email address and click Sign in.

  2. A 4-digit code is emailed to you. It expires quickly, so retrieve it promptly.

  3. Enter the 4-digit code to open your Employee Hub.

Your admin must have added you to the company's WiseStamp account as an employee and assigned you at least one signature. The Employee Hub only shows assigned signatures, so if it opens empty, ask your admin to assign you a signature.

Signature links are optional. An admin can also email you a signature link that opens the Employee Hub directly, from Employees > the three-dot menu next to your name > Send signature link. The link is a shortcut and a way to let you know your signature is ready. It is not required, because you can always sign in at hub.wisestamp.com yourself.

If you are an admin, to send a signature link:

  1. Go to the Employees page and find the relevant person.

  2. Click the three-dot menu next to their name and select Send signature link.

  3. The employee can open the email and click the link to go straight to the Employee Hub, or sign in at hub.wisestamp.com themselves.

You can also copy the signature HTML by clicking the dropdown in Copy/Paste and selecting HTML Code. Then, follow the same instructions below.


Copy/paste in Gmail

1. In the top right corner of Gmail, click the gear icon and select “See all settings.”

2. In the General tab, scroll down to the Signature section and click “Create New.”

3. Paste (Ctrl+V) your signature into the text box.

4. Set Defaults: Under Signature defaults, select your signature for both New Messages and Reply/Forward use.

5. Please check the tick box below the Signature defaults settings where it says Insert signature before quoted text...

6. Scroll to the very bottom and click “Save Changes.”

Copy/paste in Outlook for Windows

Option A: New Outlook & Outlook.com (Web)

  1. Open Settings: Click the gear icon (top right) > Accounts > Signatures.

  2. Paste your signature: Click + New signature, give it a name, and paste (Ctrl+V) your signature into the editor.

  3. Assign Defaults: Under "Select default signatures," you must choose your signature for both New messages and Replies/forwards.

  4. Save: Click Save at the bottom of the page.

Option B: Classic Outlook (Desktop App)

  1. Navigate: Go to File > Options > Mail > Signatures.

  2. Paste: Click New, name it, and paste your signature into the Edit signature box.

  3. Formatting Check: Ensure your message format is set to HTML. If set to "Plain Text," your signature will not show images or links.

  4. Assign & Save: Select the signature for New Messages and Replies, then click OK.


Copy/paste in Outlook for Mac

1. Open Settings: Go to Outlook > Settings > Signatures.

2. Create & Paste: Click the + sign to add a new signature. Paste your copied signature into the box.

3. Set Defaults: Choose your signature in the Default signature account settings at the bottom of the window.


Troubleshooting

If your signature doesn't appear as intended after pasting, check the following points identified in our troubleshooting guides:

  • Images missing? Ensure your images are hosted online (as they are in the WiseStamp Hub) and are under 100kb. Avoid local file paths like C:\Users\....

  • Signature not showing in replies? This is the #1 missed step. You must explicitly select the signature in the "Replies/forwards" dropdown menu in your email settings.

  • Shared Mailboxes: If sending from a shared mailbox, you must manually insert the signature or set it up specifically within that mailbox's settings, as signatures do not automatically transfer from your personal account.

FAQs

Can I use the HTML code instead?

Yes. If the standard copy/paste looks distorted, copy HTML signature instead. Paste this into the "Edit Signature" box if your email client supports direct HTML editing.

Can I copy/paste using ChatGPT Atlas?

Yes, you can copy and paste your signature directly into ChatGPT Atlas for use in AI-generated drafts.
