How to Add and Manage Employee and Company Data in the Studio

Use the Details tab in the WiseStamp Studio to map employee and company data, add custom contact fields, and keep signature info accurate across your team.

How to Access the Details tab in the Studio

To open Details, click the Details icon in the left panel of the Studio.

Person Details: Identity & Role

This section defines who the sender is and their position within the organization.

How do I map name and title fields?

Use the dropdown menus for Employee Name, Employee title, and Company name to ensure the Studio pulls this data directly from your user database.

Can I add more personal info?

Yes. Click (+) Add field to include additional identifiers like department, pronouns, or secondary titles. You can also add a field for a custom employee variable you created, such as credentials. For the full procedure for credentials such as CFP® or MD, see How to Use Variables in the Studio.

Is a comma added between personal details fields?

Yes. The Studio always places a comma between personal details text elements, so an employee name followed by a credentials field appears as John Smith, CFP® without you adding anything. Do not add your own comma, because the signature would then show two commas.

The exception is a duplicated element. If you create a field by duplicating an existing element and changing its Field value, no comma is added between the two elements. Add the field with (+) Add field instead to get the automatic comma.


Contact Info: Links & Connectivity

The Contact info section manages the functional communication channels in your signature.

What does the sync icon (circular arrow) mean?

This indicates that the field is dynamic. It is pulling live data (e.g., Employee phone or Employee email) from your records. If the data changes in your employee list, it updates here automatically.

How do I update the website or address?

You can select the global company website and address from the dropdowns to keep them consistent across the entire team.

When you enter your company website, include the full address with https://, for example https://www.example.com. This points the link to the secure version of your site and helps keep your emails out of spam filters. See Preventing Your WiseStamp Emails from Being Filtered as Spam.

How do I add custom contact links?

Click (+) Add field to insert extra contact options such as a booking link, WhatsApp number, or a secondary office address.


How do I change the label style of my contact details (None, Icon, Text, or Letter)?

You choose how each contact detail is labeled from the top of the Contact Details panel in the left panel. Click your Contact Details element on the Studio Canvas (the signature preview in the center), then at the top of the panel choose one of four label styles:

  • None: Shows only the value, with no icon or label in front of it.

  • Icon: Shows a small icon in front of each detail (for example, a phone icon before the phone number).

  • Text: Shows a text label in front of each detail (for example, PHONE, MOBILE, WEBSITE).

  • Letter: Shows a single-letter label in front of each detail.

The label style you choose also determines which styling options appear in the Contextual Design Bar (explained below).

How do I change the text of a field label, for example Address 2 to Address?

You can edit the label text of a field so it reads the way you want. This is useful when a second field of the same type is named with a number, such as Address 2.

  1. On the Signatures page, open the signature in the Studio.

  2. Click the dropdown at the top of the Studio, next to the Edit and Preview toggle, and select Template Variables.

  3. Click the field on the Studio Canvas, for example the Address 2 line.

  4. In the design panel on the left, edit the field label.

  5. Save the signature.

The field label option appears only in Template Variables mode. If you do not see it, see How to Use Variables in the Studio.

Changing the label affects only this signature. Each signature that shows the same field needs its own label edit.


How do I style my contact details (labels, icons, and values)?

You style your contact details in the Contextual Design Bar above the signature. Click the Contact Details element on the Studio Canvas, and the styling controls appear in the bar above the signature. The bar has sub-tabs for styling different parts of the element: Details, Value, and either Icon or Label depending on your label style. You switch between these parts using the sub-tabs shown just below the selected element.

Which parts you can style depends on the label style: With None, you can style Details and Value. With Icon, you can style Details, Icon, and Value. With Text or Letter, you can style Details, Label, and Value. You set the label style in the left panel, and you style each part in the Contextual Design Bar.

Details sub-tab

The Details sub-tab styles the contact details block as a whole. Its controls are:

  • Direction: Sets how the details are arranged (for example, stacked vertically or placed side by side horizontally).

  • Separator: Sets what appears between details when they are arranged horizontally. The options are None, Vertical line, Dot, and Comma. The separator only applies when the direction is horizontal. It also applies only to the details inside the Contact Details element. It does not control what appears between separate fields such as an employee name field and a credentials field.

  • Spacing: Sets the amount of space around the details.

  • Background, Border, and Position: These open in the left panel when clicked. See the note at the end of this section.

Value sub-tab

The Value sub-tab styles the value text (the actual phone number, email address, website, and so on). Its controls are the text controls: font, font size, color, bold, italic, underline, letter case (uppercase), and alignment.

Icon sub-tab

The Icon sub-tab appears when your label style is Icon. Its controls are:

  • Icon color: Sets the color of the icons.

  • Icon: Picks which icon is used. Each contact field has its own dropdown, so you can choose a different icon per field. The defaults are a phone icon for Phone, a mobile icon for Mobile, a globe for Website, an envelope for Email, and a location pin for Address.

  • Icon shape: Sets the shape of the icons.

  • Icon size: Sets the size of the icons, including a size value and a Small, Medium, or Large option.

Label sub-tab

The Label sub-tab appears when your label style is Text or Letter. It styles the text labels in front of each detail (for example, PHONE or MOBILE). Its controls are the same text controls as the Value sub-tab: font, font size, color, bold, italic, underline, letter case, and alignment.

Background, Border, and Position: The contact details element also has Background, Border, and Position settings, like other elements. When you click one of these in the Contextual Design Bar, its controls open in the left panel.


FAQs

Why is a field missing from my signature preview?

If a field (like "Phone") is mapped in the Details tab but doesn't appear in the preview, check the source data. WiseStamp automatically hides fields that are empty for a specific employee to avoid "ghost" labels.

Can I change the order of these fields?

The Details tab manages what data is shown. To change the order of where these appear in the design, use the drag-and-drop feature on the Studio Canvas. To change the spacing or direction, click the Contact Details element on the canvas and use the Details controls in the Contextual Design Bar above the signature.

How do I switch between icons and text labels for my contact details?

You switch the label style in the left panel. Click the Contact Details element on the Studio Canvas, then at the top of the Contact Details panel, choose None, Icon, Text, or Letter. Choose Icon to show icons in front of each detail, or Text to show text labels such as PHONE and MOBILE.

The Icon option is missing from the Design Bar. Where is it?

The Icon styling option only appears when your label style is set to Icon. If your label style is Text or Letter, you see a Label option instead, and if it is None, you see neither. To style icons, first set the label style to Icon at the top of the Contact Details panel in the left panel.

How do I add a line or dot between my contact details?

To add a separator between contact details, click the Contact Details element on the Studio Canvas, open the Details sub-tab in the Contextual Design Bar, and set the direction to horizontal. Then use the Separator control to choose None, Vertical line, Dot, or Comma. The separator only appears when the details are arranged horizontally.

This control affects only the details inside the Contact Details element. It does not add a separator between separate fields, such as between an employee name field and a credentials field. A comma between personal details text elements is added automatically instead. See How to Use Variables in the Studio.
