Deploy Signature on Mobile Devices

Add your WiseStamp signature on iPhone and Android. Set it up in the iOS Mail, Gmail, and Outlook apps so your signature appears on every message you send.

Adding your professional signature to your phone depends on which email app you use. Choose your app below and follow the simple steps.


Before You Start: Access the Employee Hub

Your Employee Hub is where you view the signatures assigned to you and open installation instructions. You can open it yourself at any time — you do not need to wait for an email from your admin.

To open your Employee Hub:

  1. Enter your work email address and click Sign in.

  2. A 4-digit code is emailed to you. It expires quickly, so retrieve it promptly.

  3. Enter the 4-digit code to open your Employee Hub.

Your admin must have added you to the company's WiseStamp account as an employee and assigned you at least one signature. The Employee Hub only shows assigned signatures, so if it opens empty, ask your admin to assign you a signature.

Signature links are optional. An admin can also email you a signature link that opens the Employee Hub directly, from Employees > the three-dot menu next to your name > Send signature link. The link is a shortcut and a way to let you know your signature is ready. It is not required, because you can always sign in at hub.wisestamp.com yourself.


iOS Mail App (iPhone/iPad)

To keep your signature looking professional on iPhone, use this "Shake" trick to keep the formatting intact.

  1. If you are an employee, go to your Employee Hub, hub.wisestamp.com. Locate the appropriate signature and click Install.

  2. If you are a WiseStamp admin, you can use the WiseStamp web app, webapp.wisestamp.com/login. Open the Signatures page and click on Install for me for the relevant signature.

  3. Select Apple Mail for iOS.

  4. Click Send to send your signature to your iPhone/iPad.

  5. Open the email through your iPhone/iPad's Mail app. If you don’t see it in your inbox, check the Promotions or Spam folder, and move it to your primary inbox if necessary.

  6. From the email, select all the content in the email and tap Copy.
    Important: Missing any part may cause formatting issues.

  7. Paste and format your signature.

    1. Go to Settings > Mail > Signature

    2. Tap the signature field, and paste the copied signature.

    3. Shake your phone to activate the Shake to Undo feature and tap Undo to restore proper formatting.

  8. Open the Mail app and compose a new email to confirm that your signature displays as intended.


Gmail App (iOS & Android)

Google Connect (recommended for individual Gmail users)

Google Connect connects WiseStamp directly to your Gmail signature settings and applies your signature across Gmail web, desktop, and mobile. It is available on all plans and does not require a browser extension.

  1. If you are an employee, go to your Employee Hub, hub.wisestamp.com. Locate the appropriate signature and click Install.

  2. If you are a WiseStamp admin, you can use the WiseStamp web app, webapp.wisestamp.com/login. Open the Signatures page and click on Install for me for the relevant signature.

  3. Select Gmail, then under Install your signature with, select Google Connect.

  4. Click the Sign in with Google link and follow the prompts to connect your Google account.

Once connected, your signature applies to all emails you send, including those sent from the mobile Gmail app. For full setup steps, see Deploy Your Signature with Google Connect.

Automatic Sync via Google Workspace

  1. Install your signature using Google Workspace Integration.

  2. On your phone, go to Gmail App.

  3. Go to Settings and turn Mobile signature OFF (or leave it blank).

Why this works

When the mobile signature is turned off, Gmail automatically uses the Google Workspace signature for all emails, including those sent from the mobile Gmail app.

Copy/Paste

  1. If you are an employee, go to your Employee Hub, hub.wisestamp.com. Locate the appropriate signature and click Install.

  2. If you are a WiseStamp admin, you can use the WiseStamp web app, webapp.wisestamp.com/login. Open the Signatures page and click on Install for me for the relevant signature.

  3. Click Gmail and then select Copy/Paste.

  4. Click Copy.

  5. In Gmail on your computer, click the Settings (gear icon) in the top right corner.

  6. Click See all settings.

  7. Scroll to Signature and paste your signature into the signature box.

  8. Click Save Changes.

Your signature will appear in all emails sent, including those sent from the mobile Gmail app.


Outlook App (iOS & Android)

Outlook Add-in

Use the WiseStamp Outlook Add-in to install your signature.

Once installed, your signature will automatically appear in all emails, including those sent from the mobile Outlook app.

I never received a signature link email

You do not need a signature link email to open your Employee Hub. Go to hub.wisestamp.com, enter your work email address, and enter the 4-digit code that is emailed to you. If the sign-in does not work, ask your WiseStamp admin to confirm that you have been added to the company's WiseStamp account and that a signature is assigned to you.

How can I fix my Apple Mail app signature so the fonts and colors aren't lost and it doesn't overlap when I reply to someone?

  1. Remove the Existing Signature: You'll need to remove the signature currently saved in your iPhone's Mail signature settings. Go to Settings > Mail > Signature and delete the current content before you add the signature once again.

  2. Add Extra Space to Prevent Overlapping: Before pasting your new signature into the dedicated signature text box, click the "Return" key 1 or 2 times to add extra space. This ensures your signature doesn't overlap with your message when you reply.

  3. Move the Cursor Back to the Top: After adding the spaces, move the cursor back to the top of the signature box before you paste, so the signature is placed above the extra space.

  4. Paste and Shake: Paste the signature into the text box. Immediately after pasting, you must shake your phone to activate the "Shake to undo" feature.

  5. Undo Change Attributes: This will cause a pop-up to appear asking "Undo change attributes?". Select "Undo" and the signature formatting should return to normal so you can save and use it properly.

  • NOTE: In some cases, users may need to do this "shake your phone" step twice before the signature formatting returns to normal.

  • If you're not seeing the Shake to Undo feature, please make sure the feature is turned on in your phone settings:

    • Go to Settings > Accessibility > Touch > Shake to Undo.

    • Make sure the toggle is on and green, which means the feature is activated.
