Gmail Signature Deployment (Legacy Free/Legacy Pro/Pro+)

This article describes the various methods that can be used to connect WiseStamp with the Gmail email platform. Deploy your WiseStamp signature to Gmail with Google Connect, the Chrome Extension, or copy and paste.

Available on: Legacy Free, Legacy Pro, Pro+

This article is recommended for individual user signature deployment using a Legacy Free, Legacy Pro, or Pro+ plan. If you want to integrate WiseStamp with your Google Workspace, which is recommended for all other plans, see Google Workspace Integration.

Methods to connect WiseStamp to your Gmail account

WiseStamp signatures can be deployed to your Gmail account by three methods:

  • Google Connect

  • WiseStamp Chrome Extension

  • Copy/Paste via Gmail settings

Connect with Google Connect

Google Connect allows us to insert a signature into your Gmail signature settings by connecting WiseStamp directly to your Google settings. Google Connect is available on all plans, including Legacy Free. Unlike the copy /paste method of adding a signature to Gmail, using Google Connect does not require any manual updates to your Gmail account. Furthermore, every time you send an email, Google checks WiseStamp for the latest signature, so any changes you make are automatically deployed into your Gmail signature settings.

Keep in mind that Google Connect can handle one email signature paired with one Gmail address.

Set up Google Connect

To start using WiseStamp with Google Connect, follow these steps.

  1. In your Signatures page, click Install for me for the relevant signature.

  2. If you are an employee and not an admin (Pro+ only), use your Employee Hub (hub.wisestamp.com). Click Install on the relevant signature.

  3. On the Installation page, select Gmail.

  4. Where you see Install your signature with, select Google Connect.

  5. Click the Sign in with Google link.

  6. In the pop-up, choose the Google account you want to connect.

  7. Review the permissions and click Continue to grant access.

  8. Wait a moment for the connection to complete. Refresh your Gmail page.

  9. Click Compose to open a new email and see your WiseStamp signature.

  10. From now on, every time you compose a new message, you will see your new WiseStamp signature at the bottom of your email.

Using the WiseStamp Chrome Extension

WiseStamp’s Google Chrome extension provides you with all of WiseStamp’s email signature functionality from your Chrome browser.

In addition, the WiseStamp extensions allow you to:

  • Use different signature designs for one email address (multiple signatures).

  • Use your WiseStamp signature on multiple email platforms (different email addresses).

  • Access the WiseStamp Signature Editor directly from your message box (Gmail).

WiseStamp can provide extensions for the following browsers:

  • Google Chrome - Verify that you are using the latest Chrome version for the best integration performance.

For full instructions, see WiseStamp Chrome Extension.

Copy and paste your signature to Gmail

You can add your signature to Gmail without using the extension by copying and pasting the signature directly into the settings of their Gmail account. However, keep in mind that this solution works for one signature only and is limited in functionality.

For full instructions, see Copy/Paste Deployment.

Gmail signature settings

If you are using Google Connect to add the signature directly into your Gmail signature settings, you can edit your signature preferences through the general Gmail signature settings.

You can control the following preferences:

Apply a signature only on new emails
(not reply/forward)

On your Gmail Settings screen, go to the Signature section on the General tab. For the signature defaults, click the ON REPLY/FORWARD USE dropdown list and select No signature.

Apply a different signature for reply and forward emails (PRO users only)

Create the signature for reply and forward emails in WiseStamp. On your Gmail Settings screen, go to the Signature section on the General tab. For the signature defaults, click the ON REPLY/FORWARD USE dropdown list and select the signature.

To make the signature appear at the bottom of your personal reply in a long thread and remove the -- from above the signature.

On your Gmail Settings screen, go to the Signature section on the General tab. For the signature defaults, select Insert signature before quoted text…

Disable/enable the signature

WiseStamp allows you to set a default signature that is displayed in every email that you send. But we understand that sometimes you just want to send a short email without the WiseStamp signature enabled.

In Gmail, there are two ways this can be done, based on how your signature was deployed:

  1. Compose a new email.

  2. Click the WiseStamp icon at the bottom of your composer (this icon is displayed you install the WiseStamp Extension for Chrome ) or click the Pen icon (if you are using Google Connect).

  3. In the dropdown list, select No Signature.

  4. This removes the signature from the current email you are writing.

Remove your WiseStamp signature

The procedures required to remove your WiseStamp signature from Gmail depend on the methods you used to deploy your signature. Based on the above information, you may have deployed your WiseStamp signature using one or more of the following methods:

  • Google Connect

  • WiseStamp Chrome Extension

  • Copy/Paste via Gmail settings

The following describes the procedures required to remove your signature based on the methods of signature deployment.

Remove WiseStamp permissions and connections

If you deployed your WiseStamp signature using Google Connect, you need to remove WiseStamp permissions and connections from your Google account.

  1. Open your Google security settings to view all your third-party apps & services.

  2. Click WiseStamp to view your WiseStamp connections.

  3. Scroll down and click Delete all connections you have with WiseStamp.

  4. A message appears to confirm the deletion. Click Confirm.

  5. To completely remove your WiseStamp signature, follow the procedure to remove your signature from your Gmail settings.

Remove WiseStamp signature from Gmail settings

If you deployed your WiseStamp signature using the Copy/Paste method or Google Connect, you need to remove your signature from Gmail settings.

    • Click the link above, or

    • Click the Settings icon on the right corner of your Gmail account and click See all settings.

  1. Scroll down to the Signature section.

  2. Select your WiseStamp signature and click the Delete signature icon.

  3. A message appears to confirm. Click Delete.

  4. Scroll down to the bottom of the page and click Save changes.

  5. Refresh your email program.

Remove WiseStamp Chrome Extension

If you deployed your WiseStamp signature using the WiseStamp Chrome Extension, you need to remove the extension to remove WiseStamp from your Gmail account.

  1. Open a new tab in Chrome and go to chrome://extensions/

  2. Find the WiseStamp extension and click Remove.

  3. Follow the on-screen instructions to complete the removal process.

  4. Refresh your email program.

If you still see your signature in your email, make sure that when you open the security settings, you are signed in with the email address where the signature is showing. You can check this on the top right-hand corner icon.

If the email address displayed at the top is not the same as the one where your signature appears, switch to the appropriate account by clicking the corresponding email address from the list.

Removing the dashes from on top of the signature

By default, Gmail adds two dashes to the top of the WiseStamp signature. If you wish to remove them, follow these steps:

  1. Open your Gmail Settings screen, and go to the Signature section on the General tab

  2. Select Insert signature before quoted text in replies and remove the "--" line that precedes it.

  3. Click Save Changes.

  4. Your signature will no longer show the "--" when you compose a new email.

Troubleshooting

The following are some of the issues that may occur:

Problem

Resolution

My signature is missing from my Vacation responder

Gmail's Vacation responder is a separate message that Gmail stores on its own, so a signature that is added for you automatically is never included in it. This applies to every method that inserts the signature for you, including Google Connect and the Google Workspace integration.

To include your signature in a vacation reply, paste it into the Vacation responder message yourself.

Images are not displayed and signature links are not clickable in emails

This usually happens when your emails are set to Plain Text instead of Rich Text (HTML). Plain Text mode prevents links, images, and formatting from displaying correctly.

To check and fix this in Gmail:

  1. Open a new email draft.

  2. Click the three dot icon in the lower-right of the compose window.

  3. Look for Plain text mode.

    1. If there's a checkmark next to it, Plain text mode is enabled.

To fix it:

Click Plain text mode again to remove the checkmark. Your links and formatting will appear correctly in future emails.

Note: The current draft won't update automatically. Delete it and start a new email to see the changes take effect.

What is my WiseStamp signature called in Gmail settings?

In Gmail Settings, under the Signature section, look for a signature named “My Signature” or “Teams Signature.”
In some cases, it may appear under the custom name you assigned to the signature when you saved it in WiseStamp.

If you have multiple signatures, check each one in the signature dropdown to identify the correct WiseStamp signature.

My replies and forwards show an old signature, or no signature

If new emails show your current signature but replies and forwards show an older version, such as an old banner or old details, or no signature at all, Gmail is using a different setting for replies and forwards. Gmail can store several signatures, and the reply setting may still point to an older one or to No signature.

On your Gmail Settings screen, go to the Signature section on the General tab. Under the signature defaults, select your current WiseStamp signature for both FOR NEW EMAILS USE and ON REPLY/FORWARD USE, then click Save Changes.

My new or updated signature does not appear in Gmail, or the Gmail signature field is blank

The most common cause is that the signature is over Gmail's 10,000 character limit. Gmail counts the full HTML of the signature, not just the visible text, so a signature can look short and still be over the limit. When it is over the limit, Gmail rejects the whole signature, which is why the field can appear empty.

To fix it, shorten the signature by removing some elements, images, or design components. Alternatively, use the WiseStamp Chrome Extension, which inserts the signature directly and is not affected by the limit. The Chrome Extension works only in Gmail in the Chrome browser on desktop.
